Instructions for Oral Presenters


The following guidelines are designed to help you prepare and deliver your oral presentation effectively at Photon 2026, ensuring a smooth and engaging experience for both presenters and delegates. 

The following guidance is applicable for Plenary and Invited Speakers as well as those delivering Featured and Oral presenations. 


1. Presentation duration

  • Plenary Speakers - 45 minutes (35 minutes + 10 minutes for Q&A)
  • Invited Speakers - 30 minutes (25 minutes + 5 minutes for Q&A)
  • Featured Talks - 30 minutes (25+ 5 minutes for Q&A)
  • Contributed Talks - 15 minutes (12 + 3 minutes for Q&A)

2. Format

  1. Timekeeping: We will be keeping strictly to time to ensure the programme runs smoothly.
  2. Arrival time: Please arrive at least 10 minutes before your session is due to start.
  3. Session order: Please refer to the conference programme for session scheduling. As timings and order may be subject to change, we recommend checking the programme regularly for updates.
  4. Q&A: Questions will be managed by the session chair

3. Presentation Materials & Technical Requirements

  • File types accepted: PowerPoint (.pptx) or PDF.
  • Slide ratio: 16:9 widescreen.
  • Embedded video/audio is allowed—please also provide separate media files.
  • Please bring your slides on a USB memory stick and upload to the session computer.
  • If you wish to present from your own device, please ensure it is HDMI-compatible or you have the appropriate adapter
  • The presenting author is responsible for ensuring that they have the necessary copyright / permissions for all material. 

4. Equipment Provided

  • PC and Projector
  • Clicker/remote
  • Laser Pointer
  • Microphones/PA system

5. Branding & Style Guidelines: 

  • Please include the title of the talk, as well as your name and affiliation on the opening slide.
  • Recommended Font Sizes:
    - Heading: 32 - 44 pt
    - Main Body Text: 24 - 32 pt
    - Bullet Points: 20-24 pt
    - Labels on charts: 18 - 24 pts
    - Captions, citations or footnotes: 16-18 pt. 
  • Ensure images, graphs, and data are correctly attributed.

6. General Best Practices

  • Use sans‑serif fonts (Calibri, Arial, Helvetica) for accessibility and clarity.
  • Avoid overcrowding slides—aim for six lines per slide and six words per line as a soft rule.
  • Maintain high contrast: dark text on a light background or vice versa.
  • Test your slides on a projector if possible—font sizes often look smaller when projected.
