Joining Instructions

The following information has been compiled to ensure you make the most out of your time in Swansea and at the Photon 2024 conference. If you have any questions, please email claire.garland@iop.org

ARRIVING AT THE ARENA

Please enter the convention centre via the main entrance (level 2 concourse).

The building will be open during the following hours:

Tuesday: 08:15-21:00
Wednesday: 08:15-21:00
Thursday: 08:15-23:00
Friday: 09:00-17:00

SITE PLAN

REGISTRATION

All participants are asked to register on arrival at the conference. The registration desk will be located in the entrance foyer and will be staffed by the Institute of Physics. The registration desk will be open during the following hours:

Tuesday: 08:15-19:00
Wednesday: 08:15-19:00
Thursday: 08:15-18:00
Friday: 09:00-14:00

CATERING

Catering will be held in the Lower Auditorium on Tuesday, Wednesday and until lunchtime on Thursday. The afternoon refreshment break on Thursday and the refreshments and lunch on Friday, will be held on the Level 0 Concourse.

SOCIAL PROGRAMME

The social programme will be held at Swansea Arena in the lower Auditorium, and is included in the registration fee.

Reception and Buffet - Tuesday 3 September, 17:30 - 19:30
Exhibitor Reception - Wednesday 4 September, 17:30 - 19:30
Conference Dinner - Thursday 5 September, 19:30 - 23:00

ENVIRONMENTAL POLICY

The organisers and the organising committee recognise their environmental responsibilities and are committed to ensuring the event is as sustainable as possible. To achieve this, we have:

Minimised waste by reducing consumption.
Effective waste management and recycling points
Stopped waste by using upcycled, recycled, or reusable items
Worked with ethical partners when purchasing supplies
Complied with all applicable environmental legislation and relevant codes of practice.

WIFI - INTERNET ACCESS

Complimentary WiFi is available via the Public Wifi. You do not need to enter a password.

HEALTH AND SAFETY

First Aid: If you require first aid during the conference, please go to the registration desk. All members of the conferences team are trained first aiders.

Alarm Activation:

If you hear the alarm:

You must leave the building immediately by the nearest fire exit
Do not use the lifts
Proceed directly to the assembly point
Do not collect personal belongings or equipment
Do not re-enter the building

If you discover a fire

Raise the alarm immediately by activating the nearest manual call-point/
If there is a telephone available and its practical to do so, dial EXT 4746 (or 01792 804 746) stating the location of the fire

Smoking

Smoking, e-cigarettes or vaping are not permitted within the venue. Designated outdoor smoking areas for staff, visitors and customers will be defined by the General Manager/Operations Manager.
