Instructions for Oral Presentations


The conference programme is available to view, please make sure you are aware of the date and time of your talk. Please note: talk times and room locations may change right up until the day, please keep checking back to the programme for your latest presentation time. 

Preparing your presentation

  • Please ensure that you keep within your allocated time slot as these will be strictly enforced by the session chairs:
    • Plenary speaker
      • Given by the well-recognised field leaders addressed to all participants 
      • Duration 45 (40mins + 5mins)
    • Invited speaker
      • Given by the well-recognised field leaders addressed to participants of a parallel session
      • 30mins (25mins + 3-5mins)
    • Contributed oral talk: 
      • Given at parallel sessions
      • Duration 20mins (15mins + 3-5mins)
    • Symposium:
      • Given by a mix of invited and contributed speakers and addressed to participants of the Satellite Symposium
      • Contributed talks - 15 min, Invited talks - 30 min, Tutorial talks - 45 min
  • You, as the presenting author, are responsible for ensuring that you have the necessary copyright / permissions for all material included within your presentation.
  • PDF and PowerPoint are accepted.
Uploading your presentation and the on the day management

  • More information will be available here shortly regarding where/how to upload your presentation prior to your talk.
  • Presentations should be brought to the venue on a flash drive, to be handed to the AV technician no later than the break prior to the speaker's session.
  • Please note: the venue has advised that Macs are incompatible with their AV equipment. You will not be able to present from your own Mac computer.

Prior to start the session, the Chair should

  • Arrive at the conference room at least 5-10 minutes before the session starts.
  • Introduce yourself to the Session Chair.
  • Sit in the front row to facilitate a quick hand over between the speakers.

 During the Session

  • The chair of the session will introduce each talk and then moderate all questions from the attendees.
  • During your presentation, please adheres to the time limit. An appropriate warning system is installed in each Session room to assist with this task. If you are overtime, the Session Chair will interrupt to conclude the presentation.
  • At the end of the presentation please shortly reply to the questions. If the question requires long answer, suggest to continue discussion privately after the session.

 The lecture theatres are equipped with the following audio-visual equipment/support

  • Projector
  • Screen
  • PC/Laptop
  • Microphone (larger rooms only)
  • Clicker and laser pointer
  • AV support technician
